Privacy policy and data Confidentiality Policy
As a registered Childminder I am required by Ofsted to keep written records of the following regarding children in my care:
· Daily record of the names of the children looked after on the premises, their hours of attendance and, where applicable, the child’s key person.
· Information on each child including: full name; date of birth; name and address of every parent and carer who is known to me (and information about any other person who has parental responsibility for the child); which parent(s) and / or carer(s) the child normally lives with; emergency contact details of the parents and carers;
· Any special dietary requirements, preferences or food allergies; special health requirements.
· Information about individual children in receipt of the Early Years Entitlement Funding / 2gether Funding, including: full name; date of birth; address; gender; ethnicity (can be collected on a voluntary basis); special educational needs status; number of funded hours taken up in census week and total number of hours (funded and unfunded) taken up during the census week. · Any incidents or accidents that occur to a child whilst in my care.
· Any medicines or medical treatment given to a child whilst in my care.
· Any pre-existing injuries and the explanation given to me by the parent(s) / carer(s) for the injury to any child in my care.
· Parental permission for seeking emergency treatment; the taking of photos; outings (including going in the car & public transport); sharing information with other providers.
I also keep written records of each young child’s development through observations, photos, work products, planning and assessment.
To improve the quality of the care and education I provide for your child I welcome the support of my Childminding Development Worker who offers support through visits and phone / e-mail contact.
It is useful to share my methods of recording so I may share your child’s records with them as an example. If you do not wish this to happen then please let me know.
I will keep all information shared with me confidentially and will not disclose it without parental consent unless I am required by law to do so e.g. if there appears to be a safeguarding issue or Ofsted require to see my records.
However, I am required to share information with other providers so we are able to provide for and meet children’s needs as fully as possible, aid the settling-in process and coordinate planning and record keeping for individual children. So I would like to share information about your child with the following where applicable: pre-school, day nursery, other registered childminder, school. I will also show my records to an Ofsted inspector as part of my inspection.
I will ask you to sign a parental permission form that will state: which provider I wish to share information with; what information I wish to share; how I will share it; how it will be stored.
My information sharing procedures are based on the Seven Golden Rules for Information Sharing, as set out in the Information sharing Advice for practitioners providing safeguarding services to children, young people, parents and carers July 2018

I will keep all written records in a safe place. Parents will have access to their child’s records only and may ask to see them at any time. I am aware of my responsibilities under the Data Protection Act 1998 and the Freedom of Information Act 2000.
I am registered with the Information Commissioners Office for Data Protection as I store information on children digitally using the following: · Digital camera · Laptop · PC · Other device (specify as necessary)
The information will be securely stored (e.g. in password-protected files) to prevent viewing of the information by others with access to my computer. (Backup files will be stored on a memory stick / CD which will also be password protected and locked away when not being used).

I expect any information shared with parents regarding myself or my family to remain confidential. I must keep a record of any written complaints made against me – please see my Complaints Procedure.
